1. Who We Are

quietNotify ("we," "us," or "our") operates the quietNotify for Landlords platform — a property management and rent notification service available at getquietnotify.com. This Privacy Policy explains how we collect, use, and protect information when you use our platform.

2. Information We Collect

Account holders (landlords)

  • Name and email address (registration)
  • Billing information processed by Stripe (we never store raw card numbers)
  • Account preferences and settings
  • IP address and browser type (for security and fraud prevention)

Tenant data entered by landlords

As a landlord, you enter data about your tenants on their behalf. This data may include:

  • Tenant name, email address, and phone number
  • Property address and unit information
  • Lease terms and rent amounts
  • Payment status records

You, the landlord, are the data controller for your tenants' personal information. You are responsible for having a lawful basis to share that information with our platform and for notifying your tenants that you use quietNotify to manage rent communications.

Usage data

  • Pages visited and features used within the platform
  • Session timestamps and error logs

3. How We Use Your Information

  • To deliver the service — send rent reminders, generate payment records, and power your landlord dashboard.
  • To process payments — subscriptions are billed via Stripe. Tenant payment links (if enabled) are also handled through Stripe.
  • To send SMS notifications — tenant reminders are delivered via Twilio using the phone numbers you provide.
  • To send email notifications — reminders and confirmations are sent from support@getquietnotify.com via our SMTP provider.
  • To improve the platform — aggregate, de-identified usage data helps us identify bugs and prioritize features.
  • To communicate with you — product updates, billing receipts, and support responses.

We do not sell your data or your tenants' data to any third party for marketing purposes.

4. Third-Party Services

We use the following sub-processors to operate the platform:

Each provider operates under its own privacy policy and data processing agreements.

5. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, we retain your data for 90 days in case you wish to reactivate, after which it is permanently deleted. Stripe retains billing records independently per their data retention policy.

Tenant records are deleted when you delete them from the platform or when your account is closed.

6. Security

We use industry-standard safeguards including encrypted database connections, HTTPS-only access, hashed passwords, and CSRF protection on all forms. We do not store credit card numbers — all payment data is tokenized and held by Stripe.

No method of transmission or storage is 100% secure. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

7. Cookies

We use a single session cookie to keep you logged in. We do not use third-party advertising cookies or tracking pixels. No cookie consent banner is needed because we only use strictly necessary session cookies.

8. Your Rights

Depending on your location, you may have the right to:

  • Access a copy of the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your account and associated data
  • Object to or restrict certain processing
  • Data portability (receive your data in a machine-readable format)

9. Children's Privacy

Our platform is intended for adults operating rental businesses. We do not knowingly collect personal information from anyone under the age of 18.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by email to active account holders at least 14 days before they take effect. Continued use of the platform after that date constitutes acceptance of the updated policy.
